Alumni membership proposal

An alumni membership program can be one of the most valuable long-term assets for a sports club. It helps maintain relationships with former players, supporters, coaches, and volunteers while creating a sustainable community around the club.

Why Alumni Membership Matters

1. Preserves Club Culture and History

Former players and members are the custodians of the club’s traditions, stories, and values. Keeping them engaged helps pass that culture on to current players and future generations.

2. Creates a Stronger Community

Many players leave due to age, family commitments, relocation, or retirement, but they still want to stay connected. An alumni program provides a meaningful way for them to remain part of the club.

3. Generates Additional Revenue

Even modest annual alumni memberships can create a significant funding stream.

  • Donations and fundraising campaigns

4. Supports Player Recruitment and Retention

Alumni Membership Eligibility

A person shall be eligible for Alumni Membership if they have:

  1. Played 20 or more matches for Bayside RFC; or
  2. Played for Bayside RFC for three or more seasons; or
  3. Served as a coach, trainer, or referee for two or more seasons; or
  4. Served in a club executive, board, or leadership volunteer position for two or more years; or
  5. Been recognized by the Board as having made a significant contribution to the club.

The Bigger Picture

Successful clubs don’t think of membership as ending when a player retires. They view membership as a lifelong relationship. An engaged alumni network strengthens finances, preserves culture, supports recruitment, and helps ensure the club remains successful for decades rather than just seasons.

Bayside Sharks RFC has applied for an event-based liquor license, which will help the Field House act like a convention center. We won’t be open all the time; just for events like rugby games, private bookings, fundraisers, to name a few. Currently, we pay for Special Event permits each time we host an event, which is costly, time-consuming, and limiting in our ability to operate effectively for our club and community.

You can help us get across the finish line by using the QR code to send a note of support to the City of Surrey Clerk’s email prior to June 13th, 2026, so that your letters of support can be reviewed before the June 15th Council meeting, where public input is requested.

Also, attached to this email are two letters: one letter of support and one of No Opposition. If you prefer to submit one of these letters instead of the QR code, please feel free. You can then email to [email protected].

Special Event: Mindset & Performance Seminar with Jackson

We are thrilled to welcome back one of Bayside’s own! Jackson grew up in South Surrey, playing for Bayside from Juniors all the way through to the Men’s teams (2012–2016). Since his time on our fields, Jackson has been living and playing rugby in Australia, building an elite career in sports science and performance.

He is returning to the club to host an exclusive seminar dedicated to unlocking your peak potential on and off the field.

What You’ll Learn:

This session is designed to give players, coaches, and members the mental tools needed to elevate their game. The seminar will focus on:

  • Building Bulletproof Confidence & Resilience – How to bounce back from setbacks.
  • Mastering Self-Belief & Composure – Staying calm and effective under high-pressure game situations.
  • Fostering Team Culture – Creating an environment where everyone thrives.

About the Speaker:

Jackson isn’t just a Bayside alumnus; he is a highly qualified expert in athlete development. His credentials include:

Building Better Sound—and a Stronger Community

At Bayside, our Clubhouse has always been a place where people come together—players, families, supporters, and friends. But since it was built, there was one small challenge that made those gatherings a little louder than intended. The acoustics weren’t quite on our side, and echoes made even simple conversations in larger groups a bit of a challenge.

Like everything at Bayside, the solution didn’t come from one person—it came from a team.

The process started when Blackie brought in a friend from the Blue Frog Sound Studio to share some expert advice. From there, Andrew Fiddis and Charlie Smeenk worked together to explore practical solutions that would fit the space and the club’s budget.

Last summer, Charlie took the lead in building the first set of 16 sound baffles. With help from Daryl McRae and Brandon Bloomfield, they were installed in the Clubhouse, making an immediate and noticeable difference. Conversations became easier, and the space felt more comfortable—but there was still a bit of echo hanging around.

Not ones to settle for “good enough,” the team decided to go one step further.

That’s where the next layer of collaboration came in. Brandon Bloomfield brought the project into the classroom, engaging the Grandview Secondary Trades Exploration class to build an additional 16 baffles. It was a fantastic opportunity for students to gain hands-on experience while contributing to a real community project—exactly the kind of connection Bayside is proud to be part of.

Most recently, those final 16 baffles were installed by Charlie and Andrea Smeenk, working (bravely) from scaffolding supplied by Sully. Their efforts have truly completed the project and transformed the space.

The result? A Clubhouse where you can now actually hear the person next to you—without feeling like you’re at a rock concert in a metal drum. The difference is remarkable, and it’s something everyone who walks through the doors can appreciate.

More importantly, this project is a perfect example of what makes Bayside special. It brought together club members, local experts, teachers, students, and volunteers—all contributing their time, skills, and energy. It’s not just about fixing sound; it’s about building something bigger together.
