FAQs
Who are we:
- We are Bayside Rugby and the Bayside Clubhouse is our home. We open it up for outside rentals when it is not being used for club events. Bayside Athletic Association is a non-profit society run by volunteers. The clubhouse is a run by volunteers.
What we ask of everyone including our members:
- We kindly ask that you respect our home and leave it the way you found it.
- We also kindly ask that whatever you bring into the Clubhouse, please remember to take it with you when you leave.
Who can book the clubhouse:
- Our facilities are available for rentals by both Bayside RFC members and the general public.
Where can we park
- There is free parking adjacent to the Clubhouse and in the Semiahmoo High School parking lot.
Serving Alcohol
- Bayside is able to provide full bar services. The Bartender fee is $25/hr/Bartender x 3 hr min. Events with over 60 people will usually require 2 bartenders. A 15% gratuity is applied to host bars service. Bayside will provide all their standard menu alcohol and non-alcohol beverages as well as the “Special Event Permit” at no charge. Additional items may be requested with a minimum of 2 weeks advance notice.
- If user group elects to bring in their own alcohol, they are responsible to obtain a Special Event Permit (required to be displayed onsite) as well as ensure a Serving It Right Certified person is onsight during the service. A $150 corkage fee is applied if user group brings in their own alcohol.
How can I set up
- Access to the facility is the start time as stated on your Facility Use Permit. Be sure to allow time for set up and decorating when booking.
- The facility comes with 10 x rectangle 6′ tables, 22 x round 5′ tables, 12 x high top cocktail tables, 40 x high Top Bar chairs, and 150 x banquet chairs available for indoor use only. To be set up and arrange by the user group as they wish.
- We kindly ask user groups to return the tables and chairs back to the original set up. Leave it how you found it.
- The facility does not come with dishes, cutlery, glassware, serving equipment, or linens.
- Renter is responsible to bring in their own dishes, glasses, cutlery, linens, additional tables, chairs and all serving equipment.
Decorating:
- Nothing can be attached to the walls (free-standing decorations only).
- No open flames including candles and tea lights (LED candles are fine).
- Use of dance wax, confetti, rice or similar items are not permitted.
Deliveries & Storage:
- Deliveries for rentals must be completed within the facility use permit. Overnight storage is not permitted.
Be Mindful
- Noise Levels: It is important that noise levels be kept to a minimum by keeping doors and windows closed.
- Keep Doorways Clear: Exit doors must not be blocked and must always be closed during the event.
- No Smoking: Smoking is not permitted in the facility or in the surrounding park, where applicable.
- Parking: Parking is within the SSAP and subject to other events going on within the park. There is also parking at the Semiahmoo High School lot located to the south of the clubhouse.
Take Down
- Guests must leave the facility at the time stated on the Facility Use Permit under Conditions of Use.
- The facility must also be cleaned and returned to its original state by the end time on the permit.
- Wipe off tables and chairs and return them to their original location.
- All appliances must be thoroughly cleaned, and all countertops wiped.
- Failure to adequately clean the facility could result in a deduction from the damage deposit for cleaning services.
- All garbage is to be removed and placed in a garbage dumpster. located outside the building (key will be provided).
Leaving:
- Please ensure that all lights, appliances are turned off.
- Ensure all the doors and deck gates are fully locked when leaving the building.
- Please ensure the “Access Key Card” and any other keys provided have been left on the bar counter prior to your final exit.
- Ensure the alarm is also set to “Away” as you exit the facility.
